1. Who We Are

Metadata Quality Score (“MQS,” “we,” “us,” or “our”) operates the website at www.metadataqualityscore.com and the MQS platform. We are based in Nashville, Tennessee, United States.

This Privacy Policy explains how we collect, use, store, and protect your information when you use our website and services. By using MQS, you agree to the practices described here.

2. Information We Collect

Account information. When you create an account, we collect your email address. If you provide additional profile information (such as your name, company name, or job title), we store that as well. Authentication is handled through passwordless email verification (one-time passcode).

Upload data. When you upload a CSV or Excel file for assessment, we temporarily store the file in encrypted storage during processing. Once scoring is complete, the file is automatically deleted. We do not retain your raw file contents. See our Data Upload Terms for full details on data processing.

Report metadata. After processing, we store report metadata associated with your account: filename, row and column counts, computed quality scores, governance band, and the labels you provided (company name, platform, dataset label).

Payment information. Payments are processed by Stripe. We do not store your credit card number, bank account details, or other payment credentials on our servers. Stripe handles all payment data under their own privacy policy.

Usage data. We use Google Analytics to collect anonymized usage data, including pages visited, time on site, browser type, device type, and referring URLs. This data is aggregated and does not identify you personally.

Communications. If you contact us through our feedback form, support email, or other channels, we retain the content of those communications to respond to your inquiry.

3. How We Use Your Information

We use your information to:

  • Provide and operate the MQS platform, including generating metadata quality reports
  • Authenticate your identity and manage your account
  • Process payments for paid assessments
  • Send transactional emails (report notifications, account updates)
  • Send marketing emails about MQS products and features (with your consent, and you can unsubscribe at any time)
  • Compute anonymized aggregate statistics (average scores, band distributions) that may be published. These statistics never include company names, filenames, or any data that could identify you or your organization
  • Improve the platform based on usage patterns and feedback
  • Respond to support requests

4. AI Processing

To generate written analysis in your reports, we send computed scores and field-level metrics to AI service providers via secure API calls. We send aggregated scoring data only, not your raw file contents. AI providers process this data solely to generate your report narrative and do not retain it or use it for model training.

5. Service Providers

We share information with the following categories of service providers, solely to operate the MQS platform:

  • Cloud infrastructure: Hosting, database, and file storage providers that store your account data and temporarily process uploads
  • Authentication: Identity and authentication services that verify your email and manage sessions
  • Payment processing: Stripe processes payments. We share only the minimum information required to complete transactions
  • Email delivery: Email service providers send transactional and marketing emails on our behalf
  • AI services: AI providers generate report narratives from aggregated scoring data (not raw file contents)
  • Analytics: Google Analytics collects anonymized usage data to help us understand how the platform is used

We do not sell, rent, or share your personal information with third parties for their own marketing purposes. We never have and never will.

6. Cookies and Tracking

We use cookies and similar technologies for the following purposes:

  • Authentication cookies: Required to keep you signed in and maintain your session. These are essential for the platform to function.
  • Analytics cookies: Google Analytics sets cookies to collect anonymized usage data (pages visited, session duration, device type). You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

We do not use advertising cookies, retargeting pixels, or social media tracking cookies.

7. Data Retention

  • Uploaded files: Temporarily stored in encrypted storage during processing, then automatically deleted. Not retained.
  • Report metadata: Stored as long as your account is active or until you delete individual reports.
  • Account information: Stored as long as your account is active. Upon account deletion, all associated data is removed within 30 days.
  • Communications: Support correspondence is retained for up to 2 years to maintain service quality.
  • Analytics data: Google Analytics data is retained according to Google's standard retention settings (14 months).

8. Data Security

We implement reasonable technical and organizational measures to protect your information, including:

  • Encrypted data transmission (HTTPS/TLS) for all connections
  • Encrypted storage for uploaded files during processing
  • Row-level security policies on our database
  • Passwordless authentication (no stored passwords to compromise)
  • Automatic deletion of uploaded files after processing

No method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. For more details, visit our Security page.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your account and all associated data
  • Data portability: Request your data in a structured, machine-readable format
  • Withdraw consent: Withdraw consent for marketing communications at any time by unsubscribing or contacting us
  • Object: Object to processing of your information in certain circumstances

10. For Users in the European Economic Area (GDPR)

Legal basis for processing. We process your personal data on the following legal bases:

  • Contract performance: Processing your uploads and generating reports (necessary to provide the service you requested)
  • Legitimate interests: Analytics, platform improvement, and fraud prevention
  • Consent: Marketing communications (you may withdraw consent at any time)

International transfers. Your data is processed and stored in the United States. By using MQS, you consent to the transfer of your information to the United States. We rely on standard contractual clauses where applicable to ensure adequate data protection.

Data Protection Authority. You have the right to lodge a complaint with your local data protection authority if you believe your data has been processed in violation of applicable law.

11. For Users in California (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights:

  • Right to know: You may request disclosure of the categories and specific pieces of personal information we have collected about you
  • Right to delete: You may request deletion of your personal information, subject to certain exceptions
  • Right to non-discrimination: We will not discriminate against you for exercising your CCPA rights
  • Right to opt out of sale: We do not sell your personal information. We have never sold personal information and have no plans to do so

12. Children

MQS is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at support@metadataqualityscore.com and we will promptly delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. If we make material changes that affect how we handle your personal information, we will notify you by email or by posting a prominent notice on our website before the changes take effect.

Continued use of MQS after changes are posted constitutes acceptance of the updated Privacy Policy.
